Job Purpose
The Junior Office Assistant will play a vital role in supporting the smooth functioning of office operations through document management, clerical support, and general administrative duties. The position involves a mix of paperwork handling, data entry, office supply management, and maintenance of office resources to ensure an organised and efficient workplace.
Key Responsibilities

Document & Mail Handling – Sort, pack, and distribute documents and mail items promptly, ensuring compliance with agreed guidelines and departmental procedures.

Error Reporting – Identify and highlight any discrepancies or exceptions to the supervisor for corrective action.

Document Preparation – Create and prepare standard documents for internal and external distribution, including photocopying, scanning, faxing, laminating, and binding as per requirements.

Report & Log Maintenance – Maintain general logs and reports, ensuring accuracy and timely management approvals where needed. Perform basic data entry for applications, forms, and timekeeping records.

Filing & Archiving – Keep department files organised, up to date, and dispose of outdated materials in accordance with storage policies.

Office Equipment Maintenance – Ensure photocopiers, telephones, and fax machines are in working order, reporting any issues promptly.

Stationery Management – Order and maintain office stationery supplies, keeping accurate transaction logs.

General Office Support – Assist with routine tasks such as typing, scheduling appointments, contacting clients, and providing general administrative assistance.

Office Cleanliness & Upkeep – Oversee basic sanitation, cleaning, and daily upkeep of the office environment.

Pantry & Miscellaneous Duties – Maintain pantry stock and perform any other clerical work assigned by the supervisor.
Qualifications & Requirements

Education: Minimum of 10 years of schooling.

Experience: At least 1 year of experience in an administrative or office support role.

Skills:

Proficient in basic computer applications, including Microsoft Word and Excel.

Organised, detail-oriented, and able to multitask.

Good communication and interpersonal skills.

Eligibility: Must have the right to work and live in India.
