Role Overview – Supply Chain Administrator (Receptionist)

As a Supply Chain Administrator (Receptionist), you will play a key role in supporting supply chain transportation services and administrative coordination. The position focuses on ensuring efficient movement of goods across Emirates’ supply chain while achieving cost efficiency and meeting agreed service levels. You will also act as a coordination point between internal departments and external government bodies such as Customs, Dubai Municipality, and the Chamber of Commerce, ensuring regulatory and legal compliance.


Key Responsibilities

Supply Chain Coordination

  • Support the Supply Chain Officer by executing and coordinating strategies related to goods movement across Emirates supply chains

  • Ensure transportation operations comply with cross-border regulations, customs laws, and required legal certifications

Procurement and Tender Support

  • Assist with ad-hoc requests by sending tenders and quotations to multiple suppliers

  • Evaluate supplier responses and recommend final options, highlighting cost savings and service level improvements

  • Support the Procurement team in developing tender documents and coordinating with cross-functional departments, including Legal, Insurance, Finance, and User departments

Reporting and Performance Monitoring

  • Generate and review activity and performance reports with buyers

  • Identify operational gaps and escalate concerns to the P&L Manager or Manager P&L when required

  • Monitor supplier compliance with contract terms and prepare routine compliance reports

Contract and Documentation Management

  • Maintain and manage the contract library and control document access

  • Ensure consistent record retention and support the development of a shared supplier repository

  • Facilitate timely resolution of contractual issues to minimize service disruptions


Qualifications and Experience

To be considered for this role, candidates must meet the following requirements:

  • Education: Minimum of 12 years of schooling or equivalent

  • Experience: At least 1 year of relevant experience, preferably with exposure to major capital acquisitions, service contract tenders, and negotiation support

  • Strong coordination, communication, and organizational skills are essential
