Role Overview: Administrative Executive
The Administrative Executive will play a key role in supporting daily operational and administrative activities within the logistics department. The position involves managing documentation, coordinating with internal teams, supporting warehouse operations, and ensuring timely completion of tasks related to billing, reporting, and shipping schedules.
Key Responsibilities

Prepare export documentation in accordance with customer procedures and international standards.

Create manual orders and ensure all shipment entries are processed accurately in the system.

Coordinate with warehouse teams to generate load lists, release picklists, and produce gate pass BOEs.

Maintain document control and ensure filing systems are updated and accessible.

Generate Local Purchase Orders (LPOs) for office and warehouse requirements.

Track stock consumption reports and monitor warehouse material usage.

Support billing operations, including preparing customer ASNs for non-EDI clients.

Ensure compliance with operational guidelines and maintain a zero-error work approach.

Communicate effectively with the customer service and warehouse departments to avoid shipment delays.

Prepare and submit periodic reports to management for performance monitoring.

Assist in continuous improvement programs to streamline internal processes.
This role may also require additional responsibilities and occasional overtime during peak operational periods.
Qualifications and Skills Required

Bachelor’s or Master’s degree in Business Administration or a related field.

Minimum 2 years of experience in logistics coordination, warehousing support, or billing operations.

Proficiency in MS Office (Excel, Word, PowerPoint).

Strong communication and interpersonal skills.

Ability to multitask and work under tight deadlines.

High attention to detail and commitment to accuracy.

Knowledge of warehouse and shipping processes is a strong advantage.
